Local-first and cloud-connected are not opposing slogans. They are two stages with different responsibilities, costs, and privacy consequences.

Use the phone for capture and immediate control

A phone is beside the paper and can finish the essential job without an account: capture pages, correct edges, rotate, reorder, create a PDF, reopen it, and export it. Keeping this path local makes it possible to evaluate the product and handle ordinary one-device work before sharing an email address.

Local does not eliminate responsibility. Protect the device, use an approved export destination, keep a backup for important records, and delete abandoned copies. The practical question is who can access each copy and whether you still know which version is trusted.

Enable cloud services for a specific continuation job

Sign in when an eligible completed document needs the private Web workspace for larger-screen review, renaming, page reordering, download, or deletion. Verify network availability and confirm the file and page count appear before starting a browser-only task.

Cloud continuity is an optional service, not a requirement for general scanning. Password-protected PDFs, drafts, and OCR text are not uploaded. A finished local scan also does not prove that an upload completed.

Classify documents before syncing

Separate routine documents from material governed by an employer, school, client, regulator, or personal security requirement. A technically available sync button does not override a policy that prohibits third-party storage or requires a specific region, retention period, encryption method, or audit trail.

For sensitive records, identify the permitted destination before scanning. If cloud processing is not allowed, keep the workflow local and export only through an approved channel. If it is allowed, record where the working and backup copies live.

Close the lifecycle deliberately

After the job, open the final PDF outside the scanner, verify it, and store it in the system that owns the record. Remove incomplete versions and delete a cloud copy when browser continuity is no longer needed. Account deletion is a separate action from deleting one document.

Review the privacy, support, and account-deletion pages before depending on a connected workflow. Clear lifecycle choices matter more than the number of storage destinations offered by a product.
